FAQs

What exactly does a Transaction Coordinator do?

Once you have a Bound Contract and send it over to us, the first thing we do is double-check it for compliance. We will ensure all parts of the contract are filled out correctly and that all signatures and initials are accounted for. We then compile a file with the new contract in our system. Once that is completed, we send out a welcome email to your client with you, the attorney and the lender cc’d. We also send an email to the agent on the other side and introduce ourselves. From there, we communicate with all parties throughout the transaction, make sure dates are kept up with, inspections are scheduled, special stips are met, etc. We write up amendments and get everything to the closing table as smoothly as possible. We send out regular emails to the client to remind them of needed items and keep them updated every step of the way. We do not perform any sort of negotiations on behalf of an agent. 

 

What is the benefit of hiring a Transaction Coordinator?

Besides making sure your real estate file is compliant, a TC will help you free up time to prospect and meet future clients. You will have the ability to work more transactions overall and we will keep track of all the dates and paperwork. 

 

Do you have a Real Estate License?

We are Licenced Real Estate Agents but we do not actively practice real estate. We do not want our clients to feel as though we are competing so we strictly perform Transaction Coordinator services. 

 

Will our clients or other parties be confused about having an outside party as part of the contract?

Anytime we send out emails we customize the Email Signature with your Real Estate information. Everything we send to other parties will come from us as a part of your team.

 

Will you contact my clients directly?

This is completely your option. However, it is most efficient if we communicate directly with your client. We will keep you informed of all communications and cc you on all emails.

 

Do I need to have a Dotloop account?

Our Transaction system merges directly with Dotloop. We do ask all agents that work with us to sign up for a . Using the system yourself is completely your choice. We have some Agents who use Dotloop and others who just log on to check the file. Having everyone on Dotloop helps keep all of our ongoing files organized in one place. If you have a compliance system such as Skyslope, Command, or Brokermint, we can upload the documents to that account as well; we just need your login and file already in place on that platform.

Do all of my transactions need to go through you if we work together?

It is completely up to you! We have some agents who send us every transaction they have and some agents who send 1 to 2 a month. We will work with you no matter how many transactions you want to send to us.

 

How do I pay you once a Transaction is closed?

Once a transaction is closed and funded, we upload the entire contract and any additional paperwork to our G-Drive in order to keep a copy stored. We close out the transaction and send out an email to your client asking for a review on any of your preferred websites. Lastly, we send an invoice from our Quickbooks for payment. We do not accept debit/credit card payments due to the higher transaction fee, but you can pay directly from your bank account.

 

What hours do you work?

We work Monday through Friday from 9:00 am - 5:00 pm excluding Federal Holidays and St.Patricks Day. Everything that is sent outside of business hours will be handled the next business day. If something needs to be handled ASAP, it is the responsibility of the Agent.

 

What if I hire an assistant after we start working together? Or what if I already have an assistant?

We love when our agents hire assistants! That means your business is growing and we helped you get there. We work very well with assistants. This allows our agents to have even more leverage and to focus even more on lead generation. Several of our agents have assistants while still utilizing our services.
